thecallcenter.ai (“we”, “us”) provides an AI receptionist that answers calls for your business. This policy explains what information we collect, how we use it, and the choices you have.

1. Information we collect

Account information — your name, email address, business name, and phone number, collected when you create an account or configure your AI receptionist.

Call data — recordings, transcripts, caller phone numbers, and summaries of calls handled by your AI receptionist on your behalf.

Business content — the knowledge you provide to train your receptionist, such as your website content, business hours, services, and FAQs.

Usage data — how you interact with the dashboard, including pages visited and features used, collected to improve the product.

Billing information — payment details are processed by our payment provider (Stripe). We never store your full card number.

2. How we use your information

To operate your AI receptionist — answering calls, booking appointments, sending summaries, and syncing with the integrations you connect.

To provide, maintain, and improve the service, including troubleshooting and analytics.

To communicate with you about your account, billing, and service updates.

To detect and prevent spam, fraud, and abuse of the platform.

3. How we share information

Service providers — we rely on trusted vendors to run the service, including telephony carriers, speech-to-text and AI model providers, authentication (Clerk), and payments (Stripe). Each receives only the data needed to perform its function.

Integrations you connect — when you link a CRM, calendar, or messaging tool, we share call and booking data with that service at your direction.

Legal requirements — we may disclose information when required by law or to protect the rights, safety, and property of our users or the public.

We do not sell your personal information or your callers' personal information.

4. Google user data

If you connect your Google Calendar, we access it only to power appointment booking for your business. Specifically, we access: the list of calendars you own or can write to (so you can pick a booking calendar), free/busy information (to avoid double-booking), and your Google account email address (to show which account is connected). We create events on the calendar you select when a caller books an appointment. We do not read the titles, descriptions, attendees, or any other contents of your existing calendar events.

Google OAuth tokens are stored encrypted (AES-256-GCM) and are used solely to provide the calendar features described above. We do not use Google user data for advertising, do not sell it, and do not share it with third parties except as needed to operate the service at your direction.

You can disconnect Google Calendar at any time from your dashboard's Integrations page — we then revoke our access with Google and delete the stored tokens. You can also revoke access from your Google Account at myaccount.google.com/permissions.

thecallcenter.ai's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Call recording and transcripts

Calls answered by your AI receptionist may be recorded and transcribed so you can review them and so the service can generate summaries. As the business owner, you are responsible for complying with call-recording consent laws that apply in your jurisdiction, including notifying callers where required.

6. Data retention

We retain account data for as long as your account is active. Call recordings and transcripts are retained so you can access your call history; you may request deletion at any time. When you close your account, we delete or anonymize your data within a commercially reasonable period, except where retention is required by law.

7. Security

We use industry-standard safeguards to protect your data, including encryption in transit, access controls, and vendor security reviews. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

8. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information. To exercise these rights, contact us at the address below and we will respond within the timeframe required by applicable law.

9. Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify you by email or through the dashboard before the changes take effect.
